The Department for Correctional Services (SA) improves efficiency and lowers costs

The background

The Department for Correctional Services is an important part of the justice sector in South Australia – responsible for prisoners, the offenders in our communities, and the provision of rehabilitation opportunities. The agency ensures offenders are managed in a safe, secure, and humane environment and provide opportunities for rehabilitation and reintegration.

The Department for Correctional Services (SA) plays a critical role in managing offenders and supporting safer communities through rehabilitation and reintegration programs. But behind the scenes, a legacy of decentralised, paper-heavy records management was creating serious risks.

With information siloed across physical files, email inboxes, and disparate systems, the agency faced:

  • Inconsistent data reporting
  • Delays in information retrieval
  • High administrative overheads
  • Growing exposure to operational and compliance risk

According to the Records Manager, “It was a risk for the agency as a whole, which then puts the community at risk if incorrect information is provided – particularly in the offender space.”

To meet its “Digital First” commitment and align with State Government legislation, the department went to market for a future-proof electronic document and records management system (EDRMS).
RecordPoint, stood out for its flexibility, automation, and security – all at a competitive price point. Rather than migrating legacy data all at once, the agency deployed SharePoint Online for active use, and layered the Information Governance Solution on top to manage retention, compliance and risk – including automated classification and defensible disposal.

By transitioning to RecordPoint, the Department for Correctional Services has seen a significant improvement in operational efficiency. Processes that once stalled due to missing files or delayed signatures are now streamlined through automated, digital workflows. Approval and reporting tasks can be completed remotely, allowing teams to move faster and make better-informed decisions.

The shift away from paper-based systems has also delivered measurable cost savings. Reduced reliance on consumables like paper, file covers and label printers, as well as lower offsite storage and destruction costs, have all contributed to a leaner, more efficient operation. Staff who previously spent hours tracking down information are now freed up to focus on higher-value work.

Perhaps most importantly, the department has laid the groundwork for sustainable information governance. With over 100 data systems identified – ranging from operational platforms to niche applications – the agency is now better positioned to gain visibility across its entire information ecosystem. As more systems are connected, the department is moving closer to a truly unified and defensible records management framework that strengthens compliance, reduces risk, and supports long-term digital transformation.
