Sydney Catholic Schools: Driving digital transformation through secure records digitisation

The background

Sydney Catholic Schools (SCS) is one of the largest Catholic education systems in Australia, responsible for supporting schools across the Sydney Archdiocese. With a strong focus on continuous improvement and digital transformation, the organisation is ommitted to implementing modern systems that enhance efficiency, governance, and access to information.

SCS faced several challenges that were limiting their operational efficiency and information governance:

  • Slow file retrieval – physical record access often took 3–5 days, impacting productivity.
  • Risk of data loss – from potential physical damage such as fire, flood, or deterioration.
  • Inefficient manual processes – difficulty in tracking documents and maintaining compliance.

To address these challenges, SCS partnered with Grace to digitise their physical records as part of their broader digital transformation strategy. The project was delivered offsite at Grace’s secure facilities, with strict attention to confidentiality, compliance, and data security.

SCS’s Records Management Digital Specialist, Simon Zaydenberg, toured Grace’s operations and witnessed their advanced digitisation process firsthand, including the robust security protocols and precision technology in use. This transparency gave SCS complete confidence in Grace’s ability to handle sensitive educational and student data.

The collaboration between SCS and Grace was seamless, marked by clear communication and proactive problem-solving. Grace’s team worked closely with SCS to anticipate potential challenges and deliver a smooth, efficient digitisation process from start to finish.

The project has delivered significant, measurable benefits for Sydney Catholic Schools:

  • Retrieval time reduced from 3–5 days to just a few seconds through instant digital access.
  • Approximately 300 square metres of physical storage space repurposed for productive use.
  • Annual off-site storage costs reduced by approximately 25%.
  • Enhanced data security, compliance, and stakeholder trust through secure digital systems.

The transition to digital has improved the team’s ability to serve stakeholders with confidence, while providing long-term assurance that sensitive educational records are protected and easily accessible.

“The decision to consider a Grace solution was driven by our efficiency goals and digital transformation plans. Witnessing their operations firsthand gave us complete confidence in their process and technology. The project transformed our record management, providing us with instant, remote access to files and significantly improving operational efficiency. The return on investment in terms of time saved, reduced costs, and enhanced productivity has been undeniable.”
